Minutes—Athletic Directors Meeting September 19, 2007

1.  Introductions were made

2.  Discuss future meetings in relation to Principals meetings.

The Athletic Directors recommend to the Principals that the 2007-08 calendar be adjusted to allow for the Athletic Directors to meet first and then make their recommendations to the Principals at a later meeting.  This will mean switching the dates of the December and February meetings for both groups.  Also the times for the Athletic Directors meetings in December and February will be moved to 8:45 am—they are still in Paxton.

3.  Discuss a supervision policy for the conference.

It was discussed and recommended that schools send an administrator or representative to all varsity level contests.  Whoever the representative is should introduce themselves to the host school administration when they arrive.  It was felt this would help in the game management for both the host and the visiting school.

4.  Discuss trademarks for SVC schools.

The Athletic Directors discussed the practice of school getting a trademark for their logo.  Many schools’ products are being sold at other retail stores that can purchase and sell below what local schools or booster’s clubs can sell for.  St. Joseph-Ogden has an agreement that requires stores to pay them to sell St. Joseph-Ogden items.

5.  Review Golf Tournament

The information is online for the tourney that will be held on Thursday September 27th at Brookhill Golf Course in RantoulSt. Thomas More is the host.  If you have any questions, contact St. Thomas More.

6.  Review Cross Country Meet

The SVC will not host an official Cross County meet this year, due to only 4 schools offering the sport (St. Joseph-Ogden, PBL, Clifton Central and St. Thomas More), the by-laws require 5 schools.  A meet between those 4 schools will still be held that day (October 16th), but there will not be a SVC champion.  The meet will be held at Kickapoo State Park at 4:30.  This is a site change from Paxton.

7.  Discuss Soccer Coop between Momence and Grant Park.

Momence needs the SVC approval to enter into a COOP agreement with Grant Park in girl’s soccer for the 2007-08 school year.   A survey/vote will be sent to the Principals thru email due to the need to have the approval done and to the IHSA in time.

8.  Discuss Wrestling Coop between Tri Point and Clifton Central.

Tri Point and Clifton Central need the SVC approval to enter into a COOP agreement in wrestling for the 2007-08 school year.  A survey/vote will be sent to the Principals thru email due to the need to have the approval done and to the IHSA in time.

9.  Site(s) for SVC Track Meet—possible splitting into two meets

A discussion was held on the 2008 SVC track meet.  It was decided not to change the date or format for the current school year due to meets already contracted by schools.  The possibility of splitting the meet into two meets—the girls meet a week earlier will be reviewed at a future meeting.   The site for the combined meet will be set at a future meeting.

10a. Discuss possible change in rotation of football games in 08 & 09.

A discussion was held on changing the rotation of football games.  The current 2008 and 2009 schedules mirror the current schedules—teams play each other the same week in future years as they have the last two years.  Some of the reason for this is consistency in scheduling and the last week is a traditional rival game week.

Some of the reason for a change is to avoid the same teams each year for senior nights and homecoming.  One possible way to change this was to move week 8 games to week 3 and then move all the other weeks forward.  This would keep week 9 intact, but change the other dates.  Drawbacks are local scheduling and officials.

10b. Review future football schedules

The 2008 and 2009 football schedules were reviewed.  Officials were hired for all 9 weeks.  2008 and 2009 schedules are online with updated official assignments.  These are subject to change.

11.  Review Volleyball Tourney—sites, seeding, times…

The 2007 SVC Volleyball Tourney was discussed.  Format changes were made (see updated brackets). The sites for the tourney will be Gilman and Paxton.  The tourney will be seeded based on final regular season record.  Seeds/pairings will be final on Friday October 12th.

10.  Discuss Girl’s and Boy’s Basketball Tournaments

Similar changes in the basketball tournaments were made as in volleyball (see brackets).

Timeline for Girl’s:  Summary sheets to John Overstreet by 1-2-08, seeds send by 1-4-08, pairings posted on 1-4-08 with sites, times…

Timeline for Boy’s:  Summary sheets to John Overstreet by 1-23-08, seeds send by 1-24-08, pairings posted on 1-24-08 with sites, times…

11.  Review fall and winter schedules for 2007-08.

Volleyball schedules were reviewed.  Winter schedules will be reviewed at the October 17th meeting.

12.   2008-09 Girl’s Basketball Tournament

A discussion was held about the possible move of the Girl’s Basketball tourney back a week to allow for one more week of SVC play.  This will be reviewed and discussed at the October 17th meeting.  Some officials have been hired for next year in the current week, so officials will have to be switched.

13.   The meeting adjourned at 2 pm
