Sangamon Valley Conference

Minutes February 11, 2009 Meeting (all schools present except Momence)

1.  Mr. Hawkins of Iroquois West made a motion, seconded by Mr. Buchanan of Watseka to approve the minutes of November 12, 2008 meeting  The motion carried unanimously.

2.  Mr. Hawkins made a motion, seconded by Mr. Van Meter of Crescent to approve the Treasurer’s Report.  The motion carried unanimously.   Some of the discussion focused on the lower balance this year due to the loss in the girl’s basketball tournament, additional trophies for fall sports and the weak economy in general.  Some options discussed were to raise dues for the 2009-10 school year, maybe charge an entry fee for non-revenue events and adjusting the amount awarded for scholarships (see #6)

3.  John Overstreet presented the Girl’s Basketball Tournament 2009 Financial Report (past years).  The tournament lost $454 this year.

4.  John Overstreet presented the Boy’s Basketball Tournament 2009 Financial Report  (past years) The tournament made $2798.69.

5.  Mr. Felesena of Clifton Central made a motion to accept the Athletic Directors recommendation to change in the dates for Volleyball Tournament Fall 2009 to avoid the ACT conflict on the Saturday.  Mr. Bean seconded the motion.  The motion carried unanimously.

3.  The Principals reviewed the remaining 2009 SVC Calendar.  The following items were updated:

---Mr. Van Meter made motion, seconded by Mr. Buchanan to not hold a March meeting and to move the April meeting to Wednesday April 1st (instead of April 8th).  This also will be the Breakfast meeting. The motion carried unanimously.

---Approved the Site for All Conference Basketball Thursday March 5th to be at Shagbark Golf Course.  More information will be sent later (Menu)

---The 2009 SVC Honor Band will be on Monday March 16th at Momence High School at 7 pm.  Mr. Neal McMullian will be the guest Director.  A check for $500 as per the by-laws will be sent to Momence High School.

---The SVC Track Meet will be held on Monday May 11th at Paxton-Buckley-Loda High School at 2 pm.  More information will be sent later.

4.  Discussion was held on a possible by-law concerning All Star Basketball Team (click here).  The by-law would establish the selection process for an all-star game with the HOIC on Friday March 27th at GCMS High School.  The game is sponsored by WGCY Radio Station in Gibson City.  The by-law is very similar to the previous by-law used by the SVC in the past.  Some discussion centered on the selection of the head coach for each team.  In past years, the coaches at the All Conference meeting selected the head coach, usually the conference champion’s coach.  The by-law does not state this and the Principals felt that the current wording of the proposed by-law leaves the selection some flexibility if the coach of the conference champion does not or can not coach the team.  Mr. Bean of Tri Point made a motion, seconded by Mr. Hawkins to accept the proposed by-law as presented with the change in “that” to “than” in B.  The motion carried unanimously.   The SVC Constitution will be updated

5.  Mr. Hawkins will be in charge of the Sportsmanship Policy Committee to develop a policy for the SVC schools.  Mr. Van Meter, Mr. Brooks of St. Joe, John Overstreet and one other Athletic Director will be on the committee.  A meeting date will be established later by Mr. Hawkins.

6.  The Principals discussed the SVC Principals’ Scholarships.  The applications will be updated online to reflect the change in year and the dollar amount will be left as “to be determined” to allow for the Principals to adjust the amount next school year based on the Sangamon Valley Conference Treasurer’s Report.  The Principals will meet on Wednesday April 1st to review and select the winners.

7.  The meeting adjourned at 9:30 am.
